Many PMP aspirants struggle to document their project management experience for the PMP application. I often receive emails asking for guidance and examples to ensure compliance with PMI’s requirements. 

In this blog post, I will explain how to write about your PMP experience and provide examples to help you complete your application correctly.

Understanding PMP Experience Requirements

Your experience should focus on leading and directing projects, even if your job title wasn’t “Project Manager.” Include only project management experience, not operational roles like supervising a team in a call center. Projects can be in any industry, such as IT, construction, healthcare, etc.

You must describe them using PMI terminology, avoiding industry-specific jargon.

PMP Application Process

Since we are talking about the PMP experience example, I would like to describe the PMP application process briefly.

The PMP application process is straightforward. First, create an account on the PMI website. Next, ensure you meet the eligibility criteria. You need a four-year degree, 36 months of project management experience, and 35 hours of training or a CAPM certification. If you have a high school diploma, you need 60 months of experience instead.

Log in to the PMI portal and complete the application. You will provide details about your education, experience, and training. Be accurate and concise. Once submitted, PMI reviews your application within five business days.

After approval, pay the exam fee. PMI members pay $405, while non-members pay $555. Your application might be selected for an audit. If so, follow the instructions to submit documents.

Once cleared, schedule your exam through Pearson VUE. You can choose an online or in-person exam. Prepare well and achieve your PMP certification.

Key Requirements for PMP Experience

To meet PMI’s standards, ensure the following:

  1. Professional Responsibility: Include only paid project work, not personal or volunteer projects.
  2. Project Management Tasks: Cover one or more process groups as defined in the PMBOK Guide.
  3. No Overlapping Projects: Do not include overlapping experiences; each project should have distinct dates.
  4. Complete Coverage: Include tasks from all five project management process groups:
    • Initiating (IN): Stakeholder identification and project initiation.
    • Planning (PL): Requirements gathering, developing project plans, and baselines.
    • Executing (EX): Implementing the plan and achieving project objectives.
    • Monitoring & Controlling (MC): Tracking progress and managing changes.
    • Closing (CL): Delivering outcomes, documenting lessons learned, and releasing the team.
  5. Experience Timeline: Diploma holders need 60 months of project experience, while degree holders require 36 months. This experience must be within the last eight years.

Writing Your PMP Experience

PMI requires a high-level summary (200–500 words) for each project. Include:

  • Objective: Why was the project initiated, and what are its goals?
  • Role: Your specific role and leadership responsibilities.
  • Responsibilities/Deliverables: Tasks completed across all project phases.
  • Outcome: The tangible product or result of the project.

Examples of PMP Experience

Example 1: Clothing Line Launch

  • Objective: Design and launch a new clothing line for newborns within six months.
  • Role: Lead project engineer, managing the project from initiation to completion.
  • Responsibilities: Identified stakeholders (IN), gathered requirements and created plans (PL), worked with the team to execute the tasks (EX), ensured progress aligned with plans (MC), and handed over the design to production (CL).
  • Outcome: A new product line for infants.

Example 2: School Construction

  • Objective: Build a 20-room school within a $3,000,000 budget in one year.
  • Role: Project manager, overseeing a team of 45 from initiation to closing.
  • Responsibilities: Identified stakeholders (IN), developed construction plans and baselines (PL), led the construction team (EX), monitored work quality (MC), and handed over the completed school (CL).
  • Outcome: A functional 20-room school building.

Ensuring Compliance

Follow these tips to ensure your application is accurate:

  • Use factual information; don’t exaggerate or manipulate details.
  • Write in first person (“I”), emphasizing your role and tasks.
  • Avoid vague descriptions or industry-specific jargon.
  • Cover all five process groups for each project.

How To Ensure My PMP Experience Examples Are Correct?

To verify your PMP experience examples are correct and aligned with PMI’s requirements, follow these steps:

1. Check Against PMI’s Requirements

  • Professional Work Only: Ensure the experience is paid, not personal or volunteer work.
  • Project Management Focus: Verify that your tasks involve managing and leading projects, not just operational roles.
  • Non-Overlapping Experience: Confirm that your project timelines don’t overlap.
  • Complete Process Groups: Each project must include tasks from at least one of the five process groups (Initiating, Planning, Executing, Monitoring & Controlling, and Closing).

2. Cover All Key Elements

For each project, provide:

  • Objective: Why the project was started and its purpose.
  • Role: Highlight how you led and directed the project.
  • Responsibilities/Deliverables: Include tasks performed in all applicable process groups.
  • Outcome: State the tangible result of the project.

3. Adhere to PMI’s Guidelines

  • Use PMI terminology rather than industry-specific jargon.
  • Write a high-level summary (200–500 words) for each project.
  • Avoid using “we”; focus on your contributions using “I.”

4. Get Feedback

Share your examples with:

  • A colleague or mentor experienced in project management.
  • A PMP-certified professional who can provide feedback.
  • Review forums or groups for PMP aspirants to get advice.

5. Consult PMI Resources

  • Review the PMI Handbook for specific instructions.
  • Use PMI-provided templates or examples for formatting and content clarity.

6. Assess Alignment with Your Role

Ensure your responsibilities match your role in the project:

  • If you were a project manager, highlight leadership and strategic tasks.
  • If you were a team lead, focus on coordination and execution tasks.

Final Tip: Be Honest

Provide accurate information that reflects your actual experience. Misrepresentation can lead to rejection or issues during an audit. If you meet all the guidelines above, your examples are likely correct and ready for submission.

Preparing for PMI Audit

PMI frequently audits applications to ensure accuracy. Provide correct contact details for supervisors or stakeholders who can verify your experience. Inform them in advance that PMI might contact them for confirmation.
